Sales Report Recipients

Most people who want to know how a show is selling don’t want to log in to find out. A sales report recipient is an email address that receives a short sales email every morning, covering only the sessions that concern them.

A venue manager gets their room. An agent gets their artist. Your own team gets everything. Nobody has to ask.

Go to Reports → Sales Report Recipients.

Each morning, every active recipient gets one email with the subject Overnight sales report — date, listing their sessions in a table:

ColumnWhat it shows
SessionArtist, room and showtime
OvernightTickets sold during the day just gone
Last 7 daysTickets sold over the last seven full days
RemainingTickets still available, where a capacity is set
Sold / CapTotal sold against total capacity

Overnight means the previous calendar day in your timezone — midnight to midnight, not a rolling 24 hours. Last 7 days is the seven full days ending at last midnight, so it includes the overnight day.

The email goes out early — around 1:30am in your account’s timezone — so it’s waiting when people start their day.

A session is included when:

  • its showtime is in the future, or within the last 24 hours — so a recipient still sees how last night’s show finished, and the session drops off the next day;
  • it is not cancelled; and
  • it is ticketed through Funny Little Shows. Sessions where ticketing is handled externally never appear, because we have no sales of our own to report.

Click Add Recipients and choose a Scope:

ScopeWho it suitsWhat it covers
RoomsA venue manager or duty managerEvery eligible session in the rooms you pick
ArtistsAn agent, manager or the comedianEvery eligible session for the artists you pick
SessionsSomeone interested in one night onlyJust the sessions you pick
All sessionsYour own team, a producer, a directorEverything you ticket

Rooms, Artists and Sessions let you pick more than one target at a time. All sessions has no target to choose — and because it isn’t a list of things, new rooms and new sessions are picked up automatically as you create them.

Then enter the Email Addresses. You can paste in several at once, separated by a comma, a semicolon or a new line, and each one is added against the scope and targets you chose.

Name / Company is optional but worth filling in — it’s who the address belongs to, whether that’s a person, a venue or a company. The name belongs to the address, not to one subscription, so setting it here applies it everywhere that address appears. You can change it later from the row’s Edit Name action.

Room-scoped recipients can also be managed from the room itself, which is often more natural when you’re setting a venue up.

Open the room, go to its Email Notifications tab, and add the address with Sales reports ticked. That creates exactly the same room-scoped subscription you’d get from the Sales Report Recipients page, and the two stay in step.

If someone has unsubscribed, the tab shows them as Sales reports (unsubscribed) rather than dropping them from the list, so you can see that they were once on it.

Every report carries an unsubscribe link in its footer. When a recipient uses it, the subscription that link was issued against changes from Active to Unsubscribed, and you can see at a glance who has opted out.

Removing someone yourself works the same way: Delete on a row removes that subscription. Check whether the address appears on other rows and remove each one if you want their reports to stop entirely.

Adding the same address again reactivates it, so a recipient who changes their mind is one Add Recipients away from being back on the list.

You don’t have to wait until tomorrow morning. Send Report Now, at the top of the Sales Report Recipients page, builds the very same report the overnight job would produce — using the same figures and the same layout — so you can check it or send it immediately.

  1. Click Send Report Now.
  2. Report For — choose whose report to build. This must be an address already on the recipient list; the report covers their scope, not yours.
  3. Deliver To — where the email actually goes. It defaults to your own address, so you can safely try it on yourself first. Change it to the recipient when you want them to receive the real thing.
  4. Run As At (optional) — pretend the overnight job ran on this date, so the report covers the day before it. Leave it blank for a report as at today.
  5. Click Preview to see the real subject and body rendered on screen, or Send to deliver it.

Useful when someone asks “what did we do last night?” mid-morning, when a new venue manager wants to see what they’ve been signed up for, or when you’ve just added a recipient and want to confirm the email looks right before they get one unannounced.

If the recipient has no sessions in scope for the day you asked about, you’ll be told so rather than sending an empty report — the same silence the overnight job would have kept.

Adding, editing and removing recipients are each separately permissioned, and Send Report Now has a permission of its own — so you can let someone view the recipient list without letting them email reports out. Set these under the usual role permissions for Daily Sales Report Recipients.
